How we collect, use, share and protect personal information when you use Dental Registry, and the choices and rights you have.

Last updated: 27 October 2026

Who we are

Dental Registry is operated by Sifa Care Ltd, registered in England and Wales (company number 16434706). Our registered office is 20 Wenlock Road, London, England, N1 7GU.

Sifa Care Ltd is the controller of the personal information described in this policy and is registered with the Information Commissioner’s Office (ICO) under registration number ZB947007.

For any privacy question or request, email [email protected] or write to us at our registered office.

What we collect

When you contact a clinic or request a consultation. Your name, email address, phone number (if you give it), your message, the clinic you chose, the treatment you are interested in, how you would like to talk (video or phone), and your answers to the clinic finder (treatment, preferred country and what matters most to you). Information about the treatment you are interested in can be health information, which the law treats as a special category of personal information.

Your consent choices. A record of what you agreed to and when.

When a clinic registers with us. The clinic’s details, the name, role, email address and phone number of the person registering, the clinic’s description, and documents a clinic sends us for verification or accreditation.

When you email or message us. What you send us, for example by email or WhatsApp.

Technical information. Your IP address and the time of a request, used to protect our forms from misuse, and records of actions taken on our systems.

Please don’t send medical records, X-rays or other health documents through our forms.

How we use it, and why we are allowed to

To handle your enquiry or consultation request and pass it to the clinic you chose, and to keep in touch with you about it. We rely on your consent, which you give when you send the form. For information about the treatment you are interested in, we rely on your explicit consent.

To run the clinic directory, including reviewing clinic registrations, assessing clinics and keeping clinic records. We rely on our legitimate interests in operating an accurate directory, and on taking steps towards an agreement with the clinic.

To keep our services secure, including limiting repeated submissions and keeping records of actions on our systems. We rely on our legitimate interests in protecting our services and the people who use them.

To meet legal obligations, such as keeping records we are required to keep.

We do not sell personal information. We do not send marketing unless you have separately agreed to it.

Who we share it with

The clinic you choose. When you contact a clinic or request a consultation, we share your details and request with that clinic only, so it can respond. The clinic then uses your information under its own responsibility.

Clinics outside the UK. Many clinics in our directory are outside the UK, for example in Turkey, Italy, Hungary or Albania. Some of these countries have not been assessed by the UK government as providing an adequate level of data protection. We only send your information to a clinic you have chosen, after you have told us you agree, and the form names the clinic before you send it.

Our service providers. Cloudflare, Inc. hosts our website and systems and stores our database in Western Europe. We use Cloudflare’s AI service as described below. Our email provider handles messages you send to us. These providers act on our instructions.

Others where required. We may share information where the law requires it, or to protect the rights and safety of patients, clinics or Dental Registry.

How we use AI

Clinic finder. If you type an answer in your own words, it is sent to an AI model run by Cloudflare to match it to one of our options, such as a treatment or country. Your name and contact details are never sent to the AI. We keep only the option it matched, not the text you typed.

Clinic registrations. If a clinic asks for an AI draft of its description, the clinic’s own text is sent to an AI model run by Cloudflare. The draft is used only if the clinic confirms it.

Clinic recommendations come only from our records of Verified and Accredited clinics. AI does not make decisions about you, and it never awards verification or accreditation. Cloudflare does not use this information to train its AI models.

Cookies and your browser

Our public website does not use advertising, analytics or tracking cookies.

If you save clinics or add them to a comparison list, the list is kept in your own browser on your device. It is not sent to us, and you can clear it at any time by clearing your browser’s site data.

Our website loads fonts from Google Fonts, so your browser connects to Google, which receives your IP address.

Our staff and clinic sign-in areas use a strictly necessary cookie to keep you signed in.

How long we keep it

We delete personal information after 2 years:

Enquiries and consultation requests: 2 years after our last contact with you.

Clinic registrations that do not go ahead: 2 years after the registration.

Clinic records, including assessments: while the clinic is in our directory, and for 2 years after it leaves.

Records of actions on our systems: 2 years.

You can ask us to delete your information sooner at any time, unless we need to keep it for a legal reason.

Your rights

You have the right to ask for a copy of your personal information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time; this does not affect what we did before you withdrew it, but we will stop sharing your information from then on.

To use any of these rights, email [email protected]. We will respond within one month.

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Keeping information secure

Information is encrypted when it travels between your browser and our systems. Access to personal information is limited to authorised staff, who sign in with passkeys, and sign-ins and key actions are recorded.

Children and changes

Our services are for adults. If you are under 18, please ask a parent or guardian to contact us for you.

We may update this policy. The date at the top shows when it last changed.
